How to let guests know a talk is running late
Push a late talk and everything after it back in one go, for one room or every room. Every phone and the foyer screen show it within seconds.
When a talk runs over, you can push it and everything after it back in one go. On Live, choose Change a session, choose the delay (from 5 to 60 minutes) and whether it applies to one room or every room, read the list of what will move, then post. One update is sent, and every open phone and the foyer screen show the new times within about 10 seconds. Guests don't need an app or an account, nobody has to refresh, and it's free.
Why stage announcements miss guests when you're running behind
When the keynote overruns, the people in the hall know. The ones getting a coffee, walking the exhibition or already heading to the next room don't. An announcement only reaches the room it's made in, and an email sits in an inbox nobody checks between sessions.
The Board is what guests already have open on their phone, and it's on the foyer screen they walk past. Post the delay once and it's there the next time anyone looks.
How to push the schedule back for one room or every room
- On Live, choose Change a session.
- Choose the delay, from 5 to 60 minutes, and whether it applies to one room or every room.
- Read the list of what will move, then post.
One room is right when the overrun is local, like a long Q&A in one room. Every room is for when the whole day has slipped.
What moves when you push the schedule back
Anything already under way runs later instead of moving. A day runs from 05:00 to 05:00, so an item after midnight stays with that evening. If the last item moves past the end, the event ends later.
A Harbourside example
Say you're running Harbourside. The 09:30 keynote in the Main Hall overruns by 15 minutes. You push the Main Hall back 15 minutes and leave the other rooms alone. Before posting, the list shows you what will move: the sessions after the keynote in the Main Hall, while the other rooms stay on time.
When only one talk is late
Sometimes one talk has to move and everything else stays put, say a speaker's train is late and their talk moves to later in the day. Choose Change a session, pick it and set its new time. Check Was and Now, add a line in Note for guests (optional) if it helps, then choose Post change. Guests see the old time crossed out, in the schedule and in Changes.
When you're just starting a few minutes late
If the day starts a few minutes late and nothing else moves, a notice is enough. Choose Notice, write it and choose Post update. Turn on Urgent only when people have to act. It leads the Board until you choose Resolve or Correct.
Who can push the schedule back
Moving sessions is for the organiser's team. Stewards can post normal notices from their own phone without an account, so they can tell guests things are starting late, but they can't move sessions or post urgent updates.
Running late has the steps, and Posting on the day covers notices and moving a single session.
